Next step in the MOSAIC project: the implementation of Employee Central, the central data module of SAP SuccessFactors.
Read moreAt the beginning of last year, the first three modules of our new people management system SAP SuccessFactors (SAP SF) were successfully rolled out (see also the interview with Julia Reusch and Anne Seidel).
And in the new year, the MOSAIC project team will continue the step-by-step roll-out of the Employee Central (EC) module. In the future, this will be VTG’s central, reliable data source for all kinds of HR processes and the core of SuccessFactors, which will connect the individual modules with each other.
“The EC module offers us a whole range of advantages,” explains Linn Richter, Functional Lead EC and therefore technically responsible for the implementation. “Above all, we are creating a standardized database for VTG.“ This was not possible with the previous, fragmented HR system landscape. ”Thanks to the EC module, we now have centralized and standardized personnel data in one place.”
And it’s not just HR that benefits: in the future, IT systems and processes will also be able to use this data. This reduces manual entries and sources of error. And for employees, it means that HR processes of all kinds are based on reliable data, information from different modules can be linked (example: PDD process), and that the organizational structure is always up to date.”

Further advantages arise in the process landscape: “The roll-out of EC results in more efficient and lean personnel processes with clear workflows and role descriptions,” says Svenya Vaid, who is responsible for functional and technical support as well as IT coordination in the project. “This not only ensures maximum transparency, but also makes day-to-day work easier.”
In the future, there will also be more transparency for employees: “After the introduction of self-services, everyone will be able to view their personal data and, to some extent, adjust it,” says Linn. “We will activate the self-services as soon as possible”.
This not only gives employees more autonomy over their own data, it also makes their work easier. “If you’ve moved house, for example, you no longer have to write an e-mail to HR, but can conveniently change your address yourself in the system,” she adds.
The roll-out of Employee Central took place in three phases starting on January 13, with HR colleagues outside of the Hamburg office as the first user group. HR in Hamburg followed at the beginning of February, and now all employees. The reason for this was to allow enough time for error-free data transfer and training for HR.
With the roll-out of the various SAP SF modules, a lot is changing step by step at VTG – not only in the way HR works, but also for each individual employee. “Change doesn’t always go down equally well, to be honest,” says Svenya.
“Nevertheless, we are convinced that these changes are important because, in the long term, they will, among other things, simplify administrative work, which in turn will make work more enjoyable.” Linn and Svenya therefore urge us to be open and curious about what is yet to come and to look forward to more than just improved processes.
