Read moreIn the beginning, there was a great need to better and more easily map everything related to IT service management in the areas of license, contract, service, software and IT asset management. “FreshService offers us all this and much more,” says Nadja Bomball, the project manager responsible for implementing the new tool.

Among other things, a central platform makes this possible, as Nico Hassel, who is responsible for project coordination, explains: “With this tool, we will be able to map all our IT services and their dependencies on just one platform in the future.” Initially, only FI processes, such as IT services and IT assets, will be managed. “Next year, all internal VTG users will be able to access the platform to easily communicate with the IT ServiceDesk,” he adds.
The implementation of the new tool is gradually yielding many advantages – for the user and for VTG. It is creating synergies, digitalizing processes and simplifying interaction through and with the user.
According to Nadja and Nico, users can look forward to a faster and easier ordering process for IT assets and IT services, among other things: “Employees can then select what they need themselves in the portal – whether it’s software, hardware or access,” explains Nadja. The IT Service Desk is scheduled to move to the platform next year.

And FI? Will have more time to devote to the further development of the VTG IT landscape, with less time spent on administrative tasks.
In the past, VTG IT projects were managed using extensive Excel lists,” explain Daniel Kalfa-Koopmann and Anna Budin, who are responsible for IT project portfolio management at VTG.
This previous approach certainly provides a solid and widespread basis for project work, but it also brings with it significant disadvantages and challenges, such as inconsistent data and a high level of manual effort.

In the fall of 2023, the decision was made: VTG wants to take standardization and transparency in the project environment to the next level and to do so, it wants to implement a digital software solution for VTG project and portfolio management.
After an extensive selection process involving numerous cross-departmental participants, the choice fell on the Sciforma software solution. Thanks to the support of our partner Softwaregini, the effort involved in this selection process was significantly reduced for us.

“Since June 2024, the first users have tested the tool and the response has been incredibly positive,” reports Daniel. ”We have now successfully completed the rollout of the software and almost 50 projects have already been added.”
“In addition to project documentation, which is filed in the form of regular status reports, for example, Sciforma also offers the option of creating schedules for our projects, recording project-related risks, planning capacity and much more,” adds Anna.
